JOB DESCRIPTION: Flight and Dispatch Coordinator
(Part 135 Operations)
Position Overview
The Flight and Dispatch Coordinator is responsible for supporting the safe, efficient, and compliant operation of company aircraft under FAR Part 135 operations. This role assists with operational control, flight coordination, international trip planning, and flight tracking while ensuring all activities comply with FAA regulations, company policies, and operational standards.
The Flight Scheduler / Dispatcher works closely with pilots, maintenance personnel, flight operations leadership, and external service providers to coordinate flight logistics, monitor aircraft movements, and support operational readiness.
Key Responsibilities
Flight Operations Coordination
• Coordinate flight operations for company and managed aircraft in compliance with FAR Part 135 regulations and company General Operations Manual (GOM).
• Assist in maintaining operational control procedures for Part 135 flights, including trip coordination, flight tracking, and communication with flight crews and operational leadership.
• Plan and coordinate domestic and international trips including required permits, customs arrangements, overflight authorizations, and regulatory documentation.
• Monitor active flights and maintain flight tracking to ensure aircraft safety and operational awareness.
• Coordinate aircraft scheduling and communicate operational changes to flight crews and relevant departments.
Trip Planning & Logistics
• Arrange and coordinate services such as FBO services, fuel, catering, hangar accommodations, aircraft cleaning, and ground transportation.
• Provide after-hours and weekend operational support as required.
• Ensure all trip logistics comply with applicable regulatory requirements and company procedures.
• Maintain accurate records of flight activity, aircraft movements, and trip-related information.
Financial Tracking & Client Support
• Gather, track, and manage trip-related expenses including crew expenses, passenger services, fuel, handling, permits, and other operational costs.
• Prepare documentation and reporting necessary for client invoicing and operational accounting.
• Ensure financial documentation related to managed aircraft operations is properly recorded and submitted.
Additional Duties
• Perform additional operational support duties as assigned by the Director of Managed Aircraft Services or company leadership.
• Assist with operational reporting, documentation, and internal coordination to support efficient flight operations.
Regulatory Compliance
• Ensure all activities comply with FAA regulations including FAR Part 135 operational requirements.
• Follow company operational control procedures and flight operations policies.
• Comply with U.S. Customs and Border Protection and all applicable domestic and international government agency regulations.
• Maintain proper documentation and records in accordance with regulatory and company standards.
Workplace Collaboration
• Work collaboratively with flight crews, maintenance personnel, operations staff, and leadership to ensure safe and efficient operations.

Job Requirements
• High school diploma or GED required; college degree or aviation-related education preferred.
• Experience with aviation operations, dispatch, or flight coordination preferred.
• Working knowledge of FAR Part 135 operations preferred.
• Proficiency in Microsoft Office applications.
• Minimum 2 years customer service or operational coordination experience.
• Strong organizational, analytical, and problem-solving skills.
• Ability to multitask and manage time-sensitive operational tasks.
• Ability to work effectively in a fast-paced, high-pressure aviation environment.
Physical Demands
• Ability to lift up to 20 lbs.
• Ability to sit, stand, and move for extended periods of time.
• Ability to climb in and out of aircraft as required.
Work Schedule
Operating Hours:
Monday – Thursday: 8:00am to 5:00pm
Saturday-Sunday: On-call support as needed, per rotating schedule
