Administrative Support Associate

Job Description

This is an administrative support position working with a team of report processors in an office cubicle environment. Candidates will be primarily responsible for collecting, organizing, and processing scientific data into reports for external clients. The role involves using various methods and internal applications to generate reports for engineers and scientists supporting the automotive and petrochemical industries.

The position requires a high level of accuracy, completeness, and integrity.

Essential Duties and Responsibilities

  • Collect and organize paper copies and electronic data
  • Gather electronic data using internal applications
  • Follow written procedures and instructions, with guidance from engineers and scientists, to convert data into reports for external clients
  • Use Microsoft Office applications, including Word, Excel, and Outlook
  • Use Adobe Acrobat PDF
  • Email reports to clients
  • Upload reports to client repository websites
  • Occasionally drive short distances to other buildings on campus to retrieve paperwork
  • Occasionally greet visitors at the reception desk
  • Answer phone calls

Required Education, Knowledge, Skills, and Abilities

  • High school diploma or equivalent
  • One to two years of general clerical experience in a professional environment
  • General proficiency in Microsoft products, including Word and Excel
  • Strong written and verbal communication skills
  • Strong interpersonal skills, including the ability to deal courteously and tactfully with others
  • Ability to work effectively as part of a team and independently
  • Willingness to work overtime as required

Physical Requirements and Work Environment

  • General office environment in an assigned cubicle with a team of coworkers
  • Sitting or standing at a desk while working on a computer
  • Periodic walking to office and laboratory areas to retrieve paperwork and process related data
  • Must be able to pass a driver’s license MVR
  • Dress code is business casual

Work Schedule

  • Monday through Friday
  • 8:00 AM to 5:00 PM
