Under minimal supervision, provide day-to-day administrative and technical support of a highly complex nature to the Accounting & Budgets Director, direct reports, and associated nuclear projects personnel. Perform advanced, diversified, and confidential technical duties and special projects. Act in a leadership role and provide direction for complex projects and/or administrative personnel. Compose and initiate routine correspondence, memoranda, reports, and minutes. Resolve routine and complex inquiries. Enter data and maintain performance indicators. Prepare and administer budgets, lead meetings, and provide training.



Administrative and Technical Support Specialist

Position Overview

Under minimal supervision, the Administrative and Technical Support Specialist will provide advanced administrative and technical support to the Accounting & Budgets Director, direct reports, and associated nuclear projects personnel. This role involves handling complex, confidential tasks, managing special projects, and offering leadership in administrative operations. The ideal candidate will prepare budgets, lead meetings, provide training, and maintain performance indicators while exercising independent judgment and discretion in a fast-paced environment.

Key Responsibilities

Administrative Support

  • Attend staff and all-hands meetings, prepare agendas, and document actions taken.
  • Assemble daily meeting packages for leadership and manage action tracking to ensure timely closure of assignments.
  • Resolve organizational issues with minimal direction, analyze conflicting demands, and provide management recommendations.
  • Maintain schedules, coordinate meetings, and arrange training sessions.
  • Read and respond to correspondence, order office supplies, and manage department credit cards, including monthly reconciliations.
  • Administer travel programs, ensuring compliance with company policies and expense reimbursement procedures.

Budget and Reporting

  • Collaborate with leadership to monitor and maintain department budgets.
  • Input time and labor data into Workday and generate reports as needed.
  • Track and authorize payments and purchases, such as safety equipment, while maintaining accurate records.

Training and Qualifications

  • Schedule refresher training and ensure qualification assignments are accurate.
  • Support onboarding for contractors and visitors, including processing through SSIS.
  • Enroll personnel in training databases and manage attendance records for safety meetings.

Contract and Process Management

  • Assist with contract preparation and processing within Construction and Project Management, Reactor and Major Maintenance, and Site Services.
  • Familiarize with creating contract requisitions and managing service provider documents.

Customer and Team Collaboration

  • Act upon feedback from internal and external stakeholders to improve communication.
  • Anticipate department needs and collaborate with leadership and staff to implement improvements.

Emergency Response

  • Serve as a member of the Emergency Response Team (ERO) and participate in outage assignments as directed.

Work Environment

  • Badge Type: Blue Badge - No ePHQ required. FFD Testing required.
  • Schedule: 20–40 hours per week.
  • On-Call Requirements: None.
  • Remote Work: Not available.
  • Work involves access to buildings outside the protected area.

Required Education and Experience

  • High school diploma or GED.
  • Minimum of five years of progressive administrative experience, including leadership responsibilities and independent decision-making authority.

Desired Education and Experience

  • Associate or bachelor’s degree from an accredited institution preferred.
  • High school diploma and seven or more years of administrative experience are typically required for success in this role.

Required Abilities and Skills

  • Familiarity with:
  • Corrective Action Programs and action tracking processes.
  • Records management processes and proprietary document control.
  • Creating contract requisitions and change requests.
  • Managed service provider program documentation.
  • Strong research, analysis, and problem-solving abilities.

Desired Abilities and Skills

  • Proficiency in the TREQ database and Adobe Acrobat Professional.
  • Knowledge of budget preparation, tracking processes, and organizational policies.
