Administrative Support – Document Digitization
Job Summary
This position supports administrative staff by digitizing paper files across the department’s electronic archival system. Responsibilities include preparing documents for scanning, scanning files, saving electronic files to specific network locations, and properly disposing of paper documents once electronic capture is verified. The role requires working knowledge of Windows File Explorer. Some experience with Teams and SharePoint is a plus.
Key Responsibilities
- Remove documents from notebooks and bindings
- Scan paper documents using a Xerox scanner
- Save scanned files to designated network locations
- Verify successful electronic capture of documents
- Dispose of paper documents in an appropriate manner
- Follow instructions and established processes
- Use Windows File Explorer to manage files
Required Education, Knowledge, Skills, and Abilities
- High school diploma or equivalent
- Basic computer and keyboarding skills
- Proficiency in Microsoft Windows and File Explorer
- Proficiency with Adobe Acrobat and Xerox scanners is preferred, or ability to learn
- Ability to follow instructions
- Two years of experience
Physical Requirements
- Prolonged periods of standing and sitting
- Ability to sort and shuffle papers
Additional Requirements
- Must be able to pass a driver’s license and MVR check
- Use of a personal vehicle to travel between various department buildings on campus; travel needs should be minimal
Work Schedule and Dress Code
- Monday through Friday, 8:00 AM to 5:00 PM
- Business casual dress code
