Senior Administrative Assistant - Nuclear Operations

Support a highly regulated operating organization with advanced administrative coordination, controlled records, executive-ready communications, action tracking, contract support, and day-to-day office operations. This role is built for an experienced administrator who can handle sensitive information, shifting priorities, and independent decisions with minimal supervision.

The strongest candidate will bring at least four years of progressive administrative experience in a utility, energy, government, engineering, healthcare, manufacturing, or similarly regulated environment. Success requires strong Microsoft Office skills, careful document control, polished communication, and the judgment to keep complex work moving without constant direction.

Location: Richland, Washington

Schedule: Full-time day schedule; exact 4x10 or 5x8 schedule to be confirmed

Work Setting: Onsite

Contract Duration: 9 months

Pay Rate: $20 - $29.00 per hour


Responsibilities

  • Provide advanced, confidential administrative support for department leaders and staff with minimal supervision.
  • Maintain documents and records in accordance with established recordkeeping requirements.
  • Prepare travel authorizations and expense forms and coordinate travel arrangements under established procedures.
  • Track department personnel qualifications and support onboarding, office orientation, performance-appraisal scheduling, and personnel-related documentation.
  • Prepare reports, correspondence, presentations, and other materials for senior management and board-level audiences.
  • Receive and route in-person and telephone inquiries, including time-sensitive or sensitive matters, while serving as a professional first point of contact.
  • Manage department mail, office supplies, equipment needs, furniture requests, printers, and work orders.
  • Serve as a department resource for action tracking: generate action requests, prepare weekly reports, monitor open items, and support timely closure.
  • Design and maintain the department SharePoint site and organize information for practical team use.
  • Initiate contract requisitions and changes, coordinate annual contract funding, reconcile monthly billing, and serve as a credit-card custodian.
  • Coordinate staff training registrations and complete other administrative assignments as needed.

Qualifications

  • High school diploma or GED.
  • At least four years of progressive administrative experience that includes leadership responsibilities and independent decision-making authority.
  • Demonstrated ability to protect sensitive and confidential information.
  • Strong working knowledge of Microsoft Word, Excel, PowerPoint, Outlook, and Access; experience with SharePoint and action-tracking tools.
  • Advanced organization, planning, time management, grammar, spelling, document preparation, and office-management skills.
  • Ability to manage complex projects, work under pressure, meet tight schedules, solve problems, and exercise sound judgment with limited supervision.
  • Professional written and verbal communication skills and the ability to work effectively with employees, leaders, and senior management.
  • U.S. citizenship and the ability to meet site-access requirements.

Preferred Qualifications

  • Administrative experience in nuclear power, utilities, DOE/Hanford, energy, engineering, government, or another regulated environment.
  • Experience supporting controlled records, employee qualification tracking, procurement or contract administration, executive communications, or billing reconciliation.
  • Professional-development coursework related to office administration, records management, project coordination, or business systems.
